Important notes

  • Every Nepali-language document MUST be accompanied by a notary-certified English translation — embassies will reject untranslated originals. Use a Nepal Bar Council–registered translator and have each translation notarised by a Notary Public.
  • The Netherlands has NO embassy in Nepal — every Nepali Schengen short-stay and Caribbean visa application is filed at VFS Global Kathmandu (Chhaya Center, Thamel) and forwarded to the Embassy of the Netherlands in New Delhi for adjudication.
  • Long-stay MVV visas follow a two-step process: the Dutch sponsor (employer / institution / family) lodges the residence-permit application with the IND (Immigratie- en Naturalisatiedienst) in the Netherlands FIRST. Only after IND approval does the applicant collect the MVV sticker — Nepal applicants cannot apply for an MVV directly at VFS; the approved-passport sticker is couriered to Nepal from the Embassy New Delhi (or collected at New Delhi / Bangalore / Mumbai consulates).
  • Lead time: short-stay applications can be filed up to 6 months before travel; minimum 15 calendar days before departure. MVV applicants have 3 months from IND approval to collect the sticker.
  • VFS service charge: NPR 3,310 + Two-way International Transfer fee NPR 3,484 per application — paid in CASH in NPR only at the centre. All fees are non-refundable.
  • Mandatory courier service for passport return is currently in place — courier costs are paid by the applicant.
  • Schengen-approved travel medical insurance with minimum EUR 30,000 cover (incl. emergency repatriation) is mandatory and must be valid throughout the Schengen Area for the entire stay.
  • Applications must be filled online via the official Schengen visa application form on the Dutch government portal — only forms completed online generate a unique code; handwritten forms are NOT accepted.
  • Photo + fingerprints (biometrics) collection is mandatory for every applicant aged 12+. If you submitted biometrics for a Dutch / Schengen visa within the last 59 months, you may not need to give them again (especially for the Blue Carpet seafarer programme).
  • Schengen visas for the main destination: when travelling to multiple Schengen countries, apply with the country where you stay longest. If equally long, apply with the country of first entry. If also travelling to a non-Schengen country (e.g. UK, Croatia, Romania, US), apply for the non-Schengen visa FIRST.
  • Recognised travel documents: not all travel documents are recognised by the Netherlands — applications with non-recognised travel documents are inadmissible. Check the EU recognised-travel-documents list before applying.
  • Travelling with minors: a "consent letter for minors travelling abroad" is required when a minor travels with one parent or alone — see the per-visa checklist for details.
  • Visa After Approved Appeal: if a previous Dutch visa application was refused and you appealed (objection to IND) successfully, you can walk in at VFS Kathmandu Mon–Fri 09:00–13:00 without an appointment to collect the visa. The official consular fee is waived; only VFS service NPR 3,310 + courier NPR 3,484 apply.
  • Overstay: exceeding 90 days within any 180-day period risks a 2-year visa sanction across all Schengen countries.
