How to Write a Hungary Visa Cover Letter from India (Sample)

Does Hungary ask for a cover letter at all?

Not as a separate item. The common list for a C (Schengen) visa asks for the online application form (printed), two colour photos (3.5 cm by 4.5 cm, white background), a front-and-back copy of your passport, salary slips for the last three months stamped and signed by your employer, income tax return acknowledgments, a bank statement for the last three months signed and stamped by the bank, an airplane ticket booking and travel medical insurance from the approved list of Indian insurers.

For tourists, the key letter on the checklist is written by your employer, not by you: an employment certificate referring to the permission granted for leave. Students travelling during the academic year need an enrolment certificate referring to their leave, and retirees show pension slips for three months.

So your own cover letter is a summary, not a substitute. Its job is to connect those papers in plain language so the officer reads one consistent story. One detail to settle before you write: the Embassy's short-stay page asks for ITR acknowledgments for the last three assessment years, while the VFS checklist says two. Carrying three satisfies both, and your letter can say so.

Which Hungarian mission should you address?

Hungary splits India between two offices. Address the letter to the one that covers the state where you live.

What should each paragraph of the letter say?

Keep it to one page and one point per paragraph. Each paragraph should name the document that proves it.

How is a business or family-visit letter different?

Business trips. The checklist wants an original employment certificate signed and stamped by your company, an original invitation from the Hungarian business partner, a letter of reference showing actual business relations between the Hungarian and Indian companies, and prearranged accommodation with a deposit or cancellation fee. Your letter should name the partner, the meeting dates and who pays.

Visiting family or friends. Hungary asks for an invitation letter issued by the Hungarian Office of Immigration and Nationality, in original. A private letter from your relative is not that document. Your cover letter should refer to the official invitation and explain the relationship.

Conferences. Cite the organiser's invitation or registration confirmation that refers to receipt of your registration fee, and your accommodation reservation, even if the organiser arranged it.

Which mistakes make a cover letter work against you?

• Dates that exceed the limit of 90 days in any 180-day period, counted from the first entry
• Describing a hotel booking as confirmed when it carries no deposit or cancellation fee
• Promising documents that are not in the file, or figures that differ from the bank statement
• Addressing the Embassy in New Delhi when your state belongs to Mumbai, or the reverse
• Copying a sample word for word; the letter should read as yours

The short-stay fee is INR 9600 for adults, plus a VFS service fee of INR 2133 with biometrics. A decision comes within 15 calendar days and may be extended to 45 in individual cases. European Commission data shows 13.1% of Schengen applications lodged at Hungarian consulates in India were refused in 2025 (2,106 visas not issued; 16,251 applications lodged), close to 13.2% in 2024; that is the share of all applications, not a prediction for yours. If you are refused, an appeal must be lodged in person within 8 calendar days.

Frequently asked questions

Should the Hungary cover letter be on my company letterhead?

Your personal cover letter is signed by you and does not need a letterhead. The document that does come from your employer is the employment certificate referring to your approved leave, which the tourist checklist lists separately.

How many years of ITR should I mention in a Hungary cover letter?

The VFS checklist asks for ITR acknowledgments for the last two assessment years, while the Embassy's short-stay page says three. Enclosing three years satisfies both, and your letter should list exactly what you enclose.

Can my relative in Hungary write the invitation letter themselves?
