Those are the only two compulsory payments at the visa stage. Everything else on this page is either optional or happens outside the Embassy's process. The amounts below are as published on the official sources, checked on 15 October 2026, and are quoted in rupees because the Embassy publishes its fee table in INR. Our Poland visa guide for Indians covers tourist and student routes.

### Do you get the INR 21,120 back if Poland refuses the visa?
No. The Embassy lists the national visa fee as non-returnable whatever the decision. The VFS service fee of INR 1,026 is also non-refundable once your appointment is confirmed.

That makes preparation the real cost control. A file missing the original work permit or the employer's KRS registration costs the same INR 21,120 plus INR 1,026 as a complete one, and a missing core document is an obvious reason for refusal. Check the Embassy's work-visa checklist line by line before you book.

### When and how is the VFS fee paid?
VFS collects its INR 1,026 online at the time you book the appointment. For a work visa, that booking comes after another step: you first register on the e-Konsulat portal, where appointment dates for work visas are allocated by an electronic draw. The draw runs every Monday at 10:00 for New Delhi and every two weeks on Thursday at 10:30 for Mumbai.

Your file goes to whichever mission covers your state. The Embassy in New Delhi handles states such as Delhi NCR, Punjab, Uttar Pradesh, Rajasthan and West Bengal. The Consulate General in Mumbai handles Maharashtra, Gujarat, Karnataka, Kerala, Tamil Nadu, Telangana, Andhra Pradesh and Goa, among others. The fee is the same at both.

### How much does an appeal cost?
A request for reconsideration of a refused national visa costs INR 21,120, the same as the original application. The rules, as published by VFS and the Embassy:

- File within 14 days from the day after you receive the negative decision. The Embassy's pages count from the day you collect your passport.
- Walk in to the VFS centre with your passport, an appeal letter and the fee. No new appointment is needed.
- Submit only the documents that have changed or were missing.
- Only one appeal is allowed.
So a refused applicant who appeals pays the INR 21,120 fee twice, plus the first VFS charge.

### What do family members pay?
A spouse or child joining you applies for a national (D) visa in the Dependent category. The long-term (D) fee of INR 21,120 / EUR 200 applies to every D category, including Dependent, and VFS charges its own fee per application. Dependants must also show funds of 75 PLN a day (20 PLN a day if the host covers all living costs) plus 2500 PLN for return travel, held as traveller's cheques, a credit card limit certificate or money in a Polish or EU bank. An Indian bank account does not count for this.

### Which costs are not on the Embassy's fee table?
The Embassy states that the only fee it charges is the consular fee for submitting the application. These costs sit outside it:

- The Polish work permit. You must hold an original, valid work permit before applying for the visa. That permit is arranged in Poland, and its procedure and any fee are outside this guide. Ask your employer.
- Insurance. Travel medical insurance from an approved company with at least EUR 30,000 cover, or proof of ZUS (Polish Social Insurance) coverage.
- Optional legalisation. Legalised professional or educational certificates are optional documents on the work checklist.
- Travel to the centre. VFS runs Poland centres in Ahmedabad, Bengaluru, Chandigarh, Chennai, Hyderabad, Jaipur, Kolkata, Lucknow, Mumbai and New Delhi. Files from satellite centres take 48 to 72 hours to reach New Delhi or Mumbai.

### How do you avoid paying more than you need to?
- Do not pay anyone for an appointment. The Embassy and Consulate General say they do not cooperate with travel agencies, employment agencies or visa agents, and that intermediaries get no preferential treatment.
- Do not buy extra documents. The Embassy says no documents are required beyond its published lists.
- Book the courier only if travelling back to the centre costs you more than INR 960.
- A flight reservation is enough for the work visa checklist; you do not need a paid ticket before the decision.
For that reservation and a cover letter, Yatra For Fun's India office in Gurugram prepares flight reservations, hotel bookings, itineraries and cover letters, with packages from INR 1,000 (flight reservation) to INR 3,000 (reservation, hotel, itinerary and cover letter).
