## TL;DR

A Japan work visa is quick at the VFS stage, costing INR 500 plus INR 800 and taking a minimum of 5 working days in New Delhi. The harder part is getting a job offer and a Certificate of Eligibility, which your employer applies for in Japan and which takes 1 to 3 months.

## Key takeaways

- Your Japanese employer applies for the Certificate of Eligibility in Japan: 1 to 3 months, no fee.
- Visa fee for Indians: INR 500 (single or multiple) plus INR 800 VFS service charge.
- Engineer/Specialist status needs a related degree, a Japanese vocational course or 10 years' experience, and pay equal to a Japanese worker.
- No age limit in the landing criteria; B2 language proof needed for language-based jobs with Category 3 or 4 employers from 15 April 2026.
- Japan issued 265,882 visas of all types to Indians in 2025 but publishes no refusal rate (MOFA).

**According to Japan's Ministry of Foreign Affairs, the main step is not the visa itself: an Indian needs a Japanese employer who first obtains a Certificate of Eligibility in Japan (1–3 months, no fee). With that COE, the work visa costs INR 500 plus an INR 800 VFS charge and takes a minimum of 5 working days in New Delhi.**

So is it easy? The visa stage at VFS is short, cheap and document-light. The real filter sits earlier: you need a job offer, and you must meet the education, experience and pay conditions of your residence status. This guide sets out both stages honestly, with figures as published on the official sources, checked on 15 October 2026. Our Japan visa hub for Indians covers tourist and other visas.

### Why does a Japan work visa feel hard, then turn out quick?
Japan splits the process into two stages:

- Certificate of Eligibility (COE), in Japan. Your employer, or another proxy in Japan, applies to a regional immigration office. The Immigration Services Agency quotes a standard processing period of 1 to 3 months and charges no fee. The application is made in Japan, not at any office in India.
- Visa, in India. With the COE (original, copy or e-COE printout), you apply at a VFS Japan Visa Application Centre. The Embassy or consulate for your state decides.
Two cautions from MOFA. A COE does not guarantee the visa will be issued. And applying without a COE is possible, but it needs a large set of verification documents and can take several months. In practice, almost all of the effort and waiting happens before you reach VFS.

### Do you meet the rules for the Engineer/Specialist in Humanities/International Services status?
This status covers engineering and IT work as well as humanities and international-services roles such as translation, design and overseas trade. The Immigration Services Agency's landing criteria require:

- A university degree (or equivalent education) in a subject related to the job, a related course at a Japanese vocational school, or 10 years' practical experience.
- IT workers holding a designated IT qualification are exempt from the education or experience rule.
- For jobs based on foreign culture, such as translation, interpretation, language teaching, PR, overseas trade or design: at least 3 years' related experience, unless you are a university graduate doing translation, interpretation or language teaching.
- Pay at least equal to what a Japanese national would receive for the same work.
The criteria contain no age requirement. Since 15 April 2026, if your employer is in Category 3 or 4, the application must include a declaration about the employer's representative. Where the work mainly uses language skills, such as translation or hotel front desk, you also need proof of CEFR B2-level ability in the working language; JLPT N2 or above counts for Japanese.

MOFA's working visa also covers Professor, Artist, Religious activities, Journalist, Business manager, Legal/Accounting services, Medical services, Researcher, Instructor and Nursing care statuses.

Under the fee table in force from 1 July 2026, Indian nationals pay INR 500 for a single or multiple visa, against INR 8,650 single for other nationals. The INR 800 VFS service charge is non-refundable.

### Which documents does VFS want with the COE?
The base set is your passport (with old passports), one application form, one photograph and the COE. Each office adds its own items:

- Delhi checklist: experience certificate and educational certificate.
- Mumbai checklist (CL-07): covering letter, original COE plus one copy, experience certificate, CV and a copy of the contract with the Japanese employer.
- Bengaluru checklist: covering letter, COE original and copy, employment certificate or relieving/resignation letter, or degree certificate if you recently finished studies; residence proof if your passport was issued outside Karnataka.
Apply to the office for the state you live in. From 19 October 2026, VFS Mumbai, Pune, Ahmedabad and Goa accept Japan applications only by prior appointment.

### Is there a route without a job offer?
The J-Find visa lets recent graduates of top-ranked universities job-hunt in Japan for up to 2 years. You must be 18 or older, hold a bachelor's, master's or PhD awarded within the last 5 years, and have savings of about 200,000 yen. The catch for most Indians: the eligible-university list (as of January 2026) includes no university in India, so only Indians who graduated from a listed university abroad can use it.

### What do the numbers say about Indian applicants?
Japan publishes no refusal or rejection rate for Indian applicants. MOFA does publish how many visas it issued: 265,882 to Indian nationals in calendar year 2025, across all visa types and missions worldwide. That made India the 4th-highest nationality, with about 3% of the 7,862,060 visas Japan issued. This counts visas granted, not a work-visa success rate.

If you are refused, MOFA does not give the specific reason, and a new application for the same purpose is not accepted within six months unless circumstances change significantly. Once approved, the Engineer/Specialist status is granted for 5 years, 3 years, 1 year or 3 months. Permanent residence normally needs 10 years' continuous residence, including 5 on a working status.

#### Mistakes to avoid
- Paying anyone in India for a COE: only the employer or a proxy in Japan can apply for it.
- Assuming a COE guarantees the visa: MOFA states that it does not, so keep your documents consistent with what your employer filed.
- Submitting at a centre outside your state's jurisdiction.
