## TL;DR

The Czech Embassy in New Delhi requires a cover letter signed by the applicant that states the purpose, duration, accompanying persons with passport numbers, transport and accommodation. Use the sample below, adjust it for business or family visits, and make every date match your insurance, bookings and leave letter.

## Key takeaways

- The Czech checklist makes a signed cover letter mandatory for every short-term (Schengen) applicant.
- It must state purpose, duration, companions' names and passport numbers, transport and accommodation.
- Business applicants also need an employer's cover letter plus the inviting company's invitation.
- The Embassy in New Delhi decides all applications; VFS centres outside Delhi forward files within 2 working days.
- The adult visa fee is 90 EURO / 9 800 INR plus a INR 2180 VFS service charge.

**According to the Embassy of the Czech Republic in New Delhi, an Indian applicant's Czech Schengen visa cover letter must be signed by the applicant and state the purpose of travel, the duration, the names and passport numbers of accompanying persons, and the transport and accommodation details. It goes into the file you submit at VFS Global.**

### What must a Czech visa cover letter include?
The Schengen checklist linked from the VFS Global Czech page (updated 21.07.2025) lists the cover letter among the common documents for every applicant. It names five elements. Treat them as the skeleton of your letter:

Element the checklist namesWhat you writeDocument that proves itPurpose of travelTourism, business, visiting family or friends, cultural event, medical treatmentTravel agency certificate, invitation, event tickets or hospital confirmationDurationExact arrival and departure dates and the total number of daysFlight itinerary and travel medical insurance datesAccompanying personsFull names and passport numbers of everyone travelling with youTheir own applications and passport copiesTransportHow you arrive, move between cities and leaveProof of means of transport and itineraryAccommodationHotel names, addresses and dates, or your host's addressHotel reservations, or the host's sponsorship/private accommodation proofThe checklist also says the letter is signed by the applicant. Print it, sign it in ink and date it.

### How does the letter change for business or family visits?
The common checklist stays the same, but each purpose adds documents, and your letter should point to them.

PurposeAdd to your letterExtra documents on the Czech checklistBusiness / conferenceName of the Czech company or event, meeting dates, who paysInvitation from the inviting company and a cover letter from your employer; both must confirm your identity, purpose, period and place of stayVisiting family or friendsHost's name, relationship, address and the period you will stayInvitation with the host's address, contact details and intended period; proof of the host's legal residence; certificate of family relationship if visiting relativesSponsored stayWho sponsors you and where you will liveOriginal official invitation on the national form, verified by the Alien Police Service; notarised written consent of the sponsorCultural eventEvent name, dates and your roleInvitation, entry tickets, enrolment or programmeMedical treatmentHospital name and treatment datesDoctor's certificate, receiving institution's confirmation, proof of pre-paymentFor a business trip, your employer's letter does not replace your own. Keep yours short and consistent with what the company writes.

### Which details must match the rest of your file?
A visa officer reads the cover letter next to your other papers. Check these before you sign:

- Dates: your travel medical insurance must cover the entire trip, including arrival and departure dates, with at least 30,000 EUR of cover.
- Nights: hotel reservations or host proof should cover every night you list. If you visit several Schengen states, the checklist asks for proof of lodging in each one.
- Leave: employed applicants submit an employer's statement approving the holiday; the dates in it should match your letter.
- Money: the checklist asks for an original bank statement for the last three months, stamped and signed by the bank, and ITR acknowledgements for the last two assessment years. The Czech checklist does not name Form 16, and the Embassy publishes no fixed amount per day for short visits.
- Self-employed: mention your company; the checklist asks for its registration certificate, GST registration, business bank statement and barcode-verifiable ITR proof.

### Where does the letter go once you submit?
You hand the letter over with the rest of your file at one of 15 VFS Global centres, from Ahmedabad and Bengaluru to Lucknow and Pune. Files lodged outside Delhi are forwarded to the Embassy within 2 working days. The Embassy normally decides within 15 calendar days of receiving the file, extendable to 45 calendar days in individual cases. The adult fee is 90 EURO / 9 800 INR, and VFS charges a non-refundable service charge of INR 2180.

European Commission data show that 20.1% of Schengen applications lodged at Czech consulates in India in 2025 were not issued (5,501 of 27,388). That figure measures past refusals across all applicants. It says nothing about any one file, but it is a reason to make your letter precise.

### Mistakes to avoid
- Leaving out the passport numbers of your companions, which the checklist specifically asks for.
- Calling a flight reservation a "confirmed ticket". Describe exactly what you hold.
- Reusing a template written for another Schengen country and forgetting to change the embassy name or city.
- Submitting the letter unsigned or undated.
- Writing a long story. One page that answers the five checklist points is enough.

### Frequently asked questions

#### Can one cover letter cover my whole family for a Czech visa?
Each person submits a separate application at VFS Global. The Czech checklist asks every applicant's cover letter to list the names and passport numbers of accompanying persons, so each family member's file should carry a signed letter naming the others.

#### Does my employer need to write a separate letter for a Czech tourist visa?
For tourism, the checklist asks employed applicants for an employer's statement approving the holiday, along with pay slips for the last three months and the employment contract. A separate employer cover letter is listed for business and conference trips.

#### Should the Czech visa cover letter mention my bank balance?
The Embassy publishes no fixed per-day amount for short visits, so you do not need to quote one. State who pays for the trip and refer to the enclosed three months of stamped bank statements and two years of ITR acknowledgements.

#### Who decides my Czech visa if I apply in Mumbai or Bengaluru?
The Consular Section of the Embassy of the Czech Republic in New Delhi decides all short-term applications. VFS centres outside Delhi forward the files to the Embassy within 2 working days.
